The complete guide to creating a project budget
Nothing gets delivered without money. Building — and holding — a project budget is a core project management skill.
Nothing gets done without funding. To launch a project and mobilise the available resources, financial backing is essential. In a project-based organization, you will almost certainly be responsible for building a budget and keeping it under control.
Building the estimate
Start from the work breakdown: for each task, estimate the internal effort (days × cost rate), the external purchases and the fixed costs. Aggregating bottom-up gives a defensible figure, unlike a top-down envelope that nobody can explain three months later.
Following commitments, not just invoices
A budget slips long before the invoice arrives. Tracking commitments — orders placed, days already booked — gives a much earlier warning than accounting does. That gap is where most budget surprises are born.
Budget and schedule in one place
In FoxPlan, budget envelopes are linked to the plan: consumed effort feeds the cost automatically, revenue and expenses sit side by side, and the margin is visible per project and consolidated across the portfolio.
