Communication plans matter because effective internal and external communication is essential to project success. Communication is needed for everyday project tasks: getting feedback on a delivery, locating a file, obtaining information from a customer, escalating a decision.
Who, what, when, how
A communication plan answers four questions for each audience: what they need to know, at what frequency, in what format and through which channel. Written down, it exposes the audiences everyone forgot — usually the ones who complain later.
Push and pull
Some information should be pushed (a status report, an incident notice); the rest should be available on demand (the plan, the documents, the decision log). Pushing everything creates noise; pushing nothing creates the impression that the project is opaque.
